The role involves assembling inmate/resident files from all repositories, reviewing records for policy compliance, correcting file composition as needed, and preparing records for transfer or archiving.
The clerk receives court correspondence concerning inmates/residents, verifies that court bonds fully cover sentences, monitors case dispositions after court appearances, and initiates contact with internal staff, local jurisdictions, and courts for record information.
Creating and maintaining up‑to‑date general and inmate/resident files includes sorting, labeling, filing, retrieving, and adhering to corporate policies for file setup, retention, and storage while ensuring confidentiality and security.
The clerk maintains an up‑to‑date list of inmates/residents scheduled for discharge and processes parole certificates, discharge letters, release authorizations, and release notifications.
Qualifications include a high school diploma or GED, a valid driver’s license, and a minimum age of 18. Experience in records management within a correctional setting and proficiency with Microsoft Word, Excel, and other PC applications are preferred.
