Maintain client registration forms and ensure timely updates ahead of renewal deadlines to ensure ongoing compliance with applicable guidelines
Ensure compliance with government regulations at the local, state, and federal levels
Provide support to cross-functional colleagues as needed
Ensure timely submission of deliverables from Sales, Design, Installation/Service, Finance, and Sales Coordination teams
Support Bid & Proposal Analysts and Bid & Proposal Manager in project management activities
Serve as the team's master data gatekeeper by maintaining and improving templates, managing company data, and organizing relevant references (e.g., past projects)
Coordinate the drafting, packaging, and submission of proposals
Establish lasting relationships and collaboration with our dedicated sales professionals
Execute post-bid activities, including revisions, client follow-ups, and reason codes
Coordinate responses to RFIs (Requests for Information) and prequalification requests submitted by Sales or the Business Development team

Background in proposals, bids, RFP coordination, contracts, or similar is strongly preferred
Strong project coordination abilities, with a proven ability to meet and effectively prioritize multiple deadlines
A team player with strong interpersonal skills – collaborative, accommodating, and a great listener
Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) and Adobe Acrobat
Excellent verbal and written communication skills
Highly organized, methodical, and detail-focused
2+ years of professional experience (experience in the construction industry or public sector is a plus)
Self-motivated and proactive, with the ability to anticipate needs and solve problems independently
Exceptional writing and editing skills with a talent for enhancing clarity, organization, flow, and overall impact of proposal materials
