- Adjust technician schedules as necessary to accommodate customer needs and service dates
- Schedule inspections with customers in a timely manner
- Generate monthly work orders and transmit them to ServiceTrade within the appropriate timeframe
- Maintain a clean and organized work environment
- Proactively communicate with customers before the scheduled date of inspection to confirm arrangements
- Answer incoming phone calls professionally and assist customers as required
- Bill work orders in accounting system (GreatPlains and ServiceTrade) and distribute invoices and any backup documentation to the customer in a timely manner
- Submit required documents to compliance portals as needed
- Set up, maintain and update inspection contracts regularly
- Provide efficient and professional administrative and clerical service to colleagues and supervisors
- Set up new customers and work orders efficiently

- Experience working with fire protection service coordination and administration is preferred, but not required
- Experience in fire protection or similar role preferred
- Experience with Microsoft Great Plains and ServiceTrade software preferred
- Ability to quickly learn and adapt to multiple business software platforms
- Ability to manage multiple tasks and changing priorities
- Superior organizational abilities
- Have an understanding of construction environments and safe work practices
- Strong proficiency with Microsoft Office (Outlook, Excel, Word)
- Attention to detail is a MUST
- Excellent interpersonal and relationship-building skills - for interacting with customers and employees alike
- Experience with dispatching is preferred, but not required
- Strong computer skills are required
- Outstanding professional communication skills - written and verbal
