Practice Manager - Orthodontics

Description

The Practice Manager will oversee staff performance, patient flow, scheduling systems, and key operational functions while acting as the primary integrator between the owner, clinical teams, and support functions. This leader will shape culture, implement efficient workflows, and ensure an outstanding patient experience.

• Manage scheduling systems, treatment coordinator workflows, and new-patient onboarding processes.
• Resolve interpersonal issues with diplomacy, discretion, and emotional intelligence.
• Relieve the owner of direct managerial responsibilities by assuming full operational ownership within 6 months.
• Implement and maintain SOPs, performance metrics, and accountability structures.
• Lead day-to-day operations ensuring smooth patient flow, clinical readiness, and consistent service delivery.
• Identify, develop, and support emerging internal leaders to build a future leadership layer.
• Conduct performance reviews, guide corrective actions, and foster growth pathways.
• Provide mentorship, coaching, and direction for a multigenerational team.
• Set weekly priorities for the practice and ensure cross-team alignment.
• Support adoption and implementation of new systems (e.g., practice-management software, communication platforms).
• Serve as a trusted advisor who anticipates needs, identifies issues proactively, and maintains strong communication with leadership.
• Drive initiatives that increase operational efficiency, such as improving same-day starts and enhancing patient onboarding consistency.
• Partner with external platforms and consultants to translate strategic recommendations into operational action.

Requirements

Our client, a highly regarded, multi-provider orthodontic practice, is seeking a dynamic Practice Manager to lead daily operations, drive accountability, and support a high-performance team. This role is ideal for an experienced operational leader who thrives in fast-paced, service-driven environments and can balance strategic oversight with hands-on execution.

• Bachelor’s degree in business administration, healthcare management, communications, or a related field.
• Familiarity with systems such as Dolphin, Weave, Microsoft Teams, and/or Corus platforms.
• Demonstrated emotional intelligence and calm authority in managing diverse teams.
• Proactive communicator with proven ability to manage scheduling, treatment-coordination processes, and patient-facing workflows.
• Strong background in performance management, accountability systems, and data-driven decision-making.
• Skilled at “reading the room,” navigating interpersonal tensions, and delivering clear, empathetic feedback.
• Minimum of five years of team leadership or operations management experience in fast-paced environments.
• Exposure to healthcare — ideally orthodontic, dental, or medical practice operations.
• Prior experience supporting a high-performing executive or leadership team in an operations or executive assistant capacity.
