
Front Office Coordinator/ Receptionist – Burnaby

The Role
Overview
First point of contact handling reception, office services and admin tasks.
Key Responsibilities

Tasks
-Coordinate local and national couriers, including sending, receiving, and delivery of packages and mail. -Receiving clients, vendors, staff and other visitors, maintaining a professional reception area. -Handle phone lines, Reception Inbox emails, and general communications. -Oversee office space management for the Burnaby office. -Maintain building access records and coordinate fob distribution and collection. -Holistic approach to wellness – Take a proactive approach to your overall wellbeing. Access confidential services as a courtesy of Ausenco including online health and fitness programs, financial coaching, and confidential counselling services. -Update facilities information on the intranet and reception manuals regularly. -Coordinate boardroom, catering and meeting bookings, and setup/cleanup, including receiving outside attendees or presenters. -Receiving invoices and create purchase orders in the system. -Collaborate with reception teams across offices to share best practices and provide coverage as needed.

What You Bring
-Excellent interpersonal skills -Proficient Microsoft Office skills. -Excellent telephone answering technique. -Good organisational and time management skills. -Ability to work in a confidential manner. -Strong verbal & written communication skills. -Minimum 2 years prior experience in an administration/reception-based role preferable. -Multi-tasking skills and the ability to work well independently and collaboratively across teams.
