  • Research and communicate with team members and other departments to accurately respond or redirect emailed requests.
  • Thoroughly analyze terms and conditions and flag items for further review by escalating to the appropriate department when needed.
  • Ensure payment remittance/billing and legal information is current and validate by communicating with external customers and vendors.
  • Create Operations + Maintenance manuals at the end of projects for distribution to customers, as requested.
  • Complete and submit permit applications based on project scope requirements. Ensure documents submitted comply with state and local permitting laws.
  • Assist with archives.
  • Create bid folders and specs.
  • Allocate p-card charges for various departments. Communicate effectively with card holders to meet allocation deadlines. Maintain efficient record-keeping processes for p-card receipts.
  • Assist with transcription and digitizing of jobsite and other logs, as requested.
  • Set-up business partners (vendors, customers, and employees) in various Harris ERP systems.
  • Manage and maintain business partners in Harris ERP systems to ensure alignment and minimize duplication.
  • Download project plans and specs into Harris network and distribute to subcontractors for bidding.
  • TIFF documents and Overlay drawings in Bluebeam as requested.
  • Prepare FedEx and/or other courier services, as needed
  • Process credit applications and forms for local and out of state vendors by applying knowledge of company information and business structure.
  • Request and maintain Certificates of Insurance for St Paul and other regions as requested.
  • Assist with p-card administration and distribution, as needed.
  • Create weekly bid list and distribute to team members.
  • Print necessary plans/CAD drawings on Harris plotting machines, as requested.
  • Manage shared operational services team email inbox by answering basic inquiries, forwarding requests to the correct department, sorting emails to appropriate folders, categorizing, and overall organization of emailed requests and information.
