Human Resources Administration & Mobility Specialist

Description

• Track completion of orientation, onboarding requirements, relocation milestones, and travel steps.
• Deliver corporate new hire orientation and support a positive, consistent employee experience.
• Set up contingent workers in Dayforce and coordinate the consultant agreement process.
• Support periodic I-9 audits for corporate records.
• Prepare and mail new hire swag boxes.
• Support internal transfer process and provide support to the recruiting team, HRBP’s, Operations or corporate departments.
• Oversee and execute internal transfers in accordance with company policies and process.
• Support international employment processes by coordinating documentation and maintaining a strong working relationship with our third-party immigration partner.
• Maintain accurate, organized documentation for onboarding, mobility programs, and separation processes.
• Provide monthly reporting support, including PCG Connect updates.
• Complete I-9s for corporate employees and assist branches with I-9 cases as needed.
• Administer travel allocations and confirm eligibility for traveling employee assignments.
• Maintain the HR Subsidy List and update records as needed.
• Complete salary separation workflows, including lead sheets, termination forms, and HR Blast communication.
• Perform a full range of administrative support tasks, some of which could be highly confidential and sensitive.
• Identify routine issues, escalate when needed, and support continuous process consistency.
• Assist employees with travel, relocation, and mobility questions, offering helpful guidance and clarity.
• Initiate and oversee Global Mobility Solutions authorizations for relocation vendor services.
• Track onboarding completion and coordinate next steps with required departments.
• Prepare transfer eligibility, management approvals and transfer offers for presentation to employees.
• Respond to HR questions sent through the shared HR inbox.
• Coordinate logistics and mobility steps with Operations leaders, branch administrators, and HRBPs.
• Apply organizational per diem policies and provide guidance to employees and managers.
• Maintain SOPs for travel, relocation, and mobility programs; ensure accessibility and version consistency.
• Process salary onboarding requests and support hourly onboarding.
• Process salary unemployment claims via Equifax CaseBuilder.

Requirements

• Strong ownership of tasks and reliable follow-through.
• Proficient in Microsoft Office Suite; familiarity with HR platforms (Dayforce, I-9 systems, CaseBuilder) is helpful.
• Clear, helpful communication with employees, managers, and cross-functional partners.
• Ability to manage confidential information with discretion.
• Ability to maintain consistency across multiple recurring HR workflows.
• Accurate, timely execution of onboarding, mobility, and separation processes.
• Onboarding & New Hire Experience
• Collaborative and adaptable approach within the HR Administration team.
• Bachelor’s degree preferred; relevant experience considered.
• Comfortable working in a fast-paced environment with evolving priorities.
• Highly organized with excellent attention to detail.
• 3+ years of experience in HR administration, onboarding, or employee support roles preferred.
• Strong communication and customer-service skills.
• Experience in travel, mobility, relocation, or per diem programs is a plus.
