We are seeking a highly motivated Pursuit Coordinator to support our proposal and interview efforts across a diverse range of public-sector projects. In this role, you’ll collaborate closely with the Marketing Director, firm Principals, marketing team, and technical staff to develop thoughtful, well-crafted proposals and presentations that reflect COAR’s values, experience, and community impact.
- Develop and execute the interview outline and strategy, while managing the development of the presentation deck to ensure alignment with the project's objectives and key considerations.
- Collaborate with technical staff to develop compelling proposal responses, including scopes of services, approaches, and fee proposals.
- Responsible for the printing, assembly, and shipping of proposals to ensure timely and professional delivery.
- Communicate team capacity and workload to leadership, facilitating informed resource allocation.
- Assess and refine current marketing and pursuit processes, providing strategic recommendations for improvement.
- Develop and maintain in-house proposal assets, including resumes, project descriptions, and other marketing materials.
- Enhance and maintain proposal narratives, implementing a system for consistent updates and improvements.
- Coordinate and lead recurring and ad-hoc pursuit meetings, ensuring alignment across teams.
- Manage multiple concurrent project pursuits, ensuring on-time, compliant delivery with minimal oversight.
- Support marketing communications, including content creation for the website, newsletters, and social media.
- Collaborate with management to develop marketing initiatives that align with company objectives and support high-priority pursuits.
- Respond to various writing, editing, and image requests to support marketing and pursuit efforts.
- Track, maintain, and organize active pursuits to support efficient proposal development.
- Assist in the Go/No-Go decision-making process.
- Support the marketing team on special projects and initiatives as needed.
- Support the marketing team in organizing and producing strategic marketing deliverables.
- Maintain and update general marketing materials to ensure consistency and brand alignment.
- Delegate and coordinate pursuit-related tasks among the marketing team and architecture staff members to optimize workflow.
- Assist in the development of social media content as needed to enhance brand visibility.
- Work closely with the Marketing Director to develop and maintain the pursuit process manuals and training guides.

This position is primarily based in an office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.
- Detail-oriented and a creative mindset
- Bachelor's Degree preferred
- Outstanding writing, proofreading, and editing skills
- Ability to communicate effectively, including seeking clarification when needed, and providing status updates on assigned tasks
- 4+ years of marketing experience
- Proficiency in Adobe InDesign, preferably with the entire Adobe Creative Suite
- Proficient in working within brand guidelines
- Strong time management and organizational skills
- Able to receive construction feedback
- Strong sense of urgency with the ability to manage and meet deadlines, and handle multiple tasks at a time
- Demonstrated proficiency in editing technical writing, reviewing, and proofreading materials for content and grammar, and style

Pay range is $75,000/yr-$90,000/yr
