Payroll Specialist

Description

• Execute and audit weekly multi‑state payroll with speed and compliance.
• Review employee timecards, manage exceptions, and handle union/prevailing wage requirements.
• Produce certified payroll reports for funded projects in partnership with Project Management.
• Maintain job wage setups and validate against federal, state, county, and local determinations.
• Ensure compliance with wage and hour laws, payroll tax regulations, and reporting requirements.
• Coordinate benefit deductions (401(k), Roth, garnishments) with Finance and HR.
• Support year‑end processes, including W‑2 preparation and distribution across jurisdictions.
• Identify and implement improvements in payroll accuracy, automation, and reconciliation.
• Support system enhancements and integrations, such as Viewpoint and acquired entities.
• Create and maintain SOPs, process documentation, and proactive risk controls.
• Maintain high attention to detail, deadline discipline, and data integrity.

Requirements

The Payroll Specialist role is not transactional; it enables financial accuracy, regulatory compliance, and employee trust at scale in a complex construction environment. The position requires strong analytical horsepower, obsessive attention to detail, and the discipline to maintain clean, audit‑ready systems across multiple states, unions, benefit plans, and project types, with potential growth into broader finance or operations leadership.

• Hold a bachelor’s degree in Accounting, Finance, HR, or a related discipline.
• Possess 3+ years of hands‑on multi‑state payroll execution experience.
• Demonstrate strong knowledge of payroll tax, wage‑and‑hour, and labor compliance.
• Advanced Excel proficiency and experience with ERP/payroll systems.
• Nice‑to‑have: experience with union and certified payroll, construction industry payroll, and payroll certifications (FPC, CPP).
