Process subcontractor invoices and liaise with accounts payable for timely payment in Dynamics.
Preserve the culture of BG&E, maintaining collaborative relationships globally.
Liaise with internal/external auditors regarding project finance compliance.
Act as the Auckland point of contact for the wider project finance team, escalating issues where needed.
Support the tracking of project budgets, variations, subcontractor claims, and resourcing.
Assist with project reviews, reporting, and month-end processes through Dynamics and Microsoft 365.
This role ensures accurate project setup, invoicing, reporting, and compliance with internal systems and client requirements.
Assist with tender and bid submissions by providing financial input and supporting documentation
Prepare invoices, track debtors, and support debt collection activities in Dynamics.
Engender the BG&E Way and incorporate that into policies, processes, systems and service delivery.
Attend project start-up meetings to ensure financial compliance requirements are met.
Assist with timesheet approvals, contractor invoice checks, and project-specific reporting.
Work collaboratively with the finance teams in Australia and Manila to ensure alignment of processes, reporting standards, and project financial data.
The Project Finance Administrator is responsible for supporting Project Managers and senior staff in managing the financial activities of projects across BG&E’s New Zealand operations.
Maintain and administer project financial data in Microsoft Dynamics as the primary system.
Maintain accurate project documentation, forecasts, and resourcing plans.

Excellent communication skills and attention to detail.
Strong working knowledge of Microsoft 365 (Excel, Word, Outlook, SharePoint, Teams).
Strong working knowledge of Microsoft Dynamics as the primary project finance system.
Comfortable in a consultancy environment, working closely with engineers, project managers, and directors.
Comfortable working in a distributed finance team across different time zones
Use of Microsoft Power BI / reporting dashboards if applicable.
Strong organisational skills, with the ability to manage competing priorities across multiple projects.
Ability to adapt as role hours and responsibilities increase with business growth.
Background in project finance within a consultancy environment, preferably in the construction or engineering sector.
Ability to work independently in a part-time role, while collaborating effectively with project managers and the wider finance team.
A team player who enjoys being part of a regional finance function while also taking ownership locally in the New Zealand office.
Prior experience with project administration, commercial reporting, or bid writing is highly desirable.
Proactive, solution-focused approach to project finance tasks.
