Property Executive Cum FSM

Description

The Property Executive – Facilities and Site Management (FSM) role is responsible for overseeing repair and replacement initiatives and ensuring defect rectifications throughout the Defects Liability Period. The incumbent will coordinate with owners, FMC, tenants, and contractors, while maintaining high standards of safety, code compliance, and functional facility delivery.

• Liaise with building owner, FMC, tenants, and contractors across sites.
• Engage tenants to address needs and mitigate inconvenience during work periods.
• Maintain highest standards of safety, code compliance, and functional facility service delivery.
• Attend meetings and inspections, providing periodic updates and status projections.
• Prepare, collate, and submit engineering, facilities, and project reports as required.
• Develop strong relationships with client representatives and key suppliers/service providers.
• Develop and implement fire safety procedures, policies, and guidelines to meet local regulations.
• Conduct regular fire safety inspections to identify and remediate hazards or non‑compliance.
• Coordinate with fire safety consultants, inspectors, and authorities to ensure code compliance.
• Train property staff and tenants on fire safety procedures and emergency response protocols.
• Conduct periodic drills and exercises to test emergency response plans.
• Oversee daily fire safety operations, including maintenance of detection and suppression systems.
• Stay updated on fire safety regulations and best practices, communicating changes to stakeholders.
• Attend project meetings and provide progressive updates to owners, FMC, and stakeholders.
• Submit project progress and completion reports.
• Follow up post‑DLP to ensure defect rectifications are completed.
• Establish a “Safety First” culture across sites and improve safety performance.
• Highlight safety risks to contractors and ensure adherence.
• Support building owner and team to achieve high client service standards.
• Escalate performance‑impacting issues to management promptly.
• Serve as liaison for all facilities services.
• Ensure strict adherence to safety, environmental, and client standards within facilities.
• Comply with portfolio initiatives and local, state, and federal laws and regulations.
• Follow client policies, government regulations, and JLL internal SOPs (EHS, procurement, finance).
• Act as key point of contact for tenant engagement, preparing communications and addressing challenges.

Requirements

Candidates should hold a diploma in Building or Facilities disciplines (or equivalent ITE/NTC qualification) and possess at least three to five years of relevant experience in facilities or project management. Strong technical knowledge, customer‑service orientation, and proficiency with Microsoft Office and MS Project are essential, as is the ability to work independently under pressure.

• Hold a diploma in Building or Facilities Discipline (or ITE/NTC) with 3‑5 years relevant experience.
• Possess technical knowledge in facilities management, project management, and statutory requirements.
• Demonstrate strong customer service, interpersonal, and problem‑solving abilities.
• Exhibit strong technical and project management expertise.
• Understand facilities operations and possess proficiency in Microsoft Office, MS Project, PowerPoint, and Excel.
• Be independent, self‑motivated, flexible, responsible, and able to work under pressure.
