Document Controller

Description

At VVB we are currently recruiting for a Document Controller to provide document control and administrative support during operational processes, handling enquiries, processing documentation typical to project operations. Single point for registration, receipt, distribution and issue of all Project Documentation.

• Placing requisitions on SAP
• Maintaining Document Control register, TQ and RFI register.
• Updating & maintaining records of staff holidays, sickness and absence and other project records.
• Filing and archiving various paperwork
• Updating Staff Register, Training Matrix etc.
• Providing full secretarial and administrative support to Project Team
• Reconcile Delivery Notes with purchase orders
• Uploading / Downloading documents to Asite VVB Document Control Management portal.
• Compiling site timesheets and reconciliation against clocking system to issue to accounts for payments.
• Monitoring of Site Stationery.
• Regular updating of time and attendance using information from timesheet provided.
• Maintaining electronic records of all purchases, and maintaining the filing system for requisitions to enable easy location of information where necessary
• Ensuring appropriate personnel (including project personnel and subcontractors) are issued with up-to-date documentation.
• Monitor Site Holidays/Absence records and liaison with HR department
• Recording, checking and tracking all incoming and outgoing project documents.
• Uploading / Downloading project documents to client Document Control System.
• Reviewing and numbering with unique document reference and revision Project Documents before submission to Client.
• Photocopying, scanning, encapsulating documents.

• Single point for all Timesheet, time and attendance related queries
• Typing (Letters, memos, e-mails, meeting minutes and reports etc.)
• Have an experience in Document Control and different DMS (Document Management System)
