Proposal Specialist II

Description

• Manage RFQ and RFP responses across transportation, water, environment/energy, and PM/CM disciplines.
• Lead or contribute to proposal strategy development, applying win plans, themes, and discriminators.
• Develop proposal outlines, schedules, and ensure compliance with requirements.
• Facilitate proposal team and review meetings, managing revisions per feedback.
• Gather, write, edit, and coordinate proposal content to meet client specifications.
• Coordinate graphics such as org charts, maps, flow charts, and matrices with the graphics team.
• Work with subconsultants to obtain and compile marketing materials for submissions.
• Conduct QA/QC on proposal and marketing materials, focusing on grammar and consistency.
• Perform final layout in InDesign and produce hard copies when needed.
• Update Salesforce with proposal information promptly.
• Take initiative and generate creative ideas for proposals, presentations, and marketing.

Requirements

Applicants should have a BA/BS and a minimum of two years' experience supporting proposal activities within a marketing team, with a preference for related degrees and additional proposal writing experience.

• Hold a BA/BS and at least two years of proposal marketing experience, or equivalent education/experience.
• Preferably have a degree in Journalism, English, Communications, Marketing, or related field.
• Three to four years of relevant proposal writing experience is a plus.
• Prior experience in the AEC industry is preferred.
• Demonstrate strong organizational, administrative, and time‑management skills.
• Exhibit excellent verbal and written communication, with the ability to edit proposal materials.
• Show diplomacy when handling challenging situations with peers and internal clients.
• Possess graphic design and layout skills, proficient in Adobe Acrobat Suite, especially InDesign.
• Be proficient with Microsoft Office Suite and CRM Salesforce.
• Maintain a professional demeanor and strong interpersonal abilities.
• Ability to multitask in a fast‑paced environment and occasionally work evenings or weekends to meet deadlines.

The role is located in New York, NY (605 Third Ave) with a hybrid work model and a salary range of $85,000 to $120,000 per year.
