  • Manage all incoming and external phone and email requests while ensuring that the customer and business priorities are always being maintained and monitor flow of information on behalf of the sales management.

  • Manage the calendars for Digital Industries core management team enabling leadership effectiveness.

  • Provide administrative support (Virtual and In-Person) with aspects such as, but not limited to: booking travel arrangements, event coordination, organizing meetings and conferences; accurately processing invoices; reconciliation of travel and expense reports.
  • Catalogue Ordering for office supplies and promotional items through Siemens tools such as: MyMall (Amazon, prominate).
  • Coordinate the preparation and distribution of information in advance of upcoming meetings.
  • Manage the end-to-end process for translation requests for announcements, including portal submission and vendor coordination, while also acting as a liaison between the requester and the vendor to ensure timely and accurate delivery of the final document(s).
  • Participate in our celebrations, social events and offsite business events.
  • Co-ordinate for ordering of mobile and IT hardware for team members as required.
  • Independently prepare correspondence in an accurate and professional manner.
  • Assist DI employees experiencing IT related issues, offering support and guidance to resolve or escalate concerns and contributing to a seamless productive work environment.
  • Act as a key point of contact and back up for Digital Industries Management Team Assistant as required including vacation coverage.

  • Exceptional communication skills in English, both verbal and written.
  • Ability to work with sensitive/confidential information while maintaining high degree of discretion and ethical standards of conduct.
  • Experience working in a complex, matrix environment.
  • Ability to build and manage relationships with internal and external stakeholders.
  • Minimum 3 years of experience in an administrative support role in a corporate setting.
  • Ability to operate effectively in a fast-paced environment, with the ability to adapt to change and pivot as needed.
  • Demonstrated ability to think creatively and holistically, analyzing the broader organizational context to innovate and drive cross-collaborative success within a matrixed organization.
  • Strong attention to detail.
  • Education: A post-secondary Degree or Diploma in Business Administration or a relevant field.
  • Ability to work independently and take initiative; self-motivated.
  • Excellent problem-solver with a demonstrated ability to research solutions.
  • Strong time management skills, with the ability to multi-task and prioritize effectively.
  • Willingness to work flexible hours, with availability to accommodate early morning meetings or events as required.
  • Asset(s): Bilingual (English / French) communication skills, both verbal and written.
  • Demonstrated experience supporting and working effectively with senior management.
  • Technical skills: Advanced working knowledge of Microsoft suite of applications: Teams, Outlook, Excel, Word, PowerPoint, and SharePoint.
