System Support Executive

Description

We are seeking a business-focused systems support specialist to serve as the primary subject matter expert for the project management system used within the Project Management Business Unit. This role combines deep functional knowledge of the system with a thorough understanding of project management processes, client reporting requirements, and performance monitoring. The incumbent will provide user guidance and training, manage vendor relationships and contracts, liaison with IT teams for system integration and reporting, and ensure the system is effectively leveraged to meet business needs and deliver value to clients. Candidates with more extensive relevant experience may be considered for a senior position.

• Act as the primary point of contact with the system vendor.
• Work with project managers to capture and translate operational needs into system requirements.
• Develop and maintain user manuals, training materials, and FAQs.
• Provide guidance, training, and ongoing support to internal users to maximise adoption and utilisation of the system.
• Identify opportunities to improve reporting efficiency and effectiveness through automation or integration with other systems.
• Collaborate with internal IT and data analytics teams to develop, maintain, and enhance reporting tools and dashboard visualisations.
• Analyse and understand the end-to-end business processes of the Project Management unit, ensuring optimal configuration and usage of the Project Management software to support these workflows.
• Ensure data integrity, accuracy, and timeliness in system-generated reports.
• Monitor industry trends, best practices, and product updates to recommend improvements in usage and workflows.
• Oversee vendor performance, service level compliance, and timely delivery of agreed system enhancements or support.
• Support and improve client reporting processes by configuring the system and related dashboards to meet contractual and operational requirements.
• Attention to Detail - Ensuring accuracy and quality in configuration, reporting, and documentation.
• Manage contract terms, renewals, and budget tracking related to the system and system licenses.
• Serve as the in-house subject matter expert (SME) for our Project Management system, maintaining a deep understanding of its features, configuration options, and best practices.
• Troubleshoot and resolve functional issues, escalating to the vendor as needed.
• Gather feedback from users to enhance system functionality, usability, and reporting capabilities.

Requirements

• Bachelor’s degree in project management, Information Systems, or a related field.
• Proven experience with Project Management products such as PlanRadar, Procore or similar project management / construction management software.
• Analytical Thinking - Ability to translate business needs into system requirements and data insights.
• Certification in project management methodologies (e.g., PMP, PRINCE2).
• Training & Facilitation - Confident in delivering clear and effective user guidance.
• Experience in vendor and contract management.
• Stakeholder Engagement - Skilled in liaising with diverse teams including project managers, IT, vendors, and clients.
• Experience in data analysis, reporting, and dashboard tools (e.g., Power BI, Tableau).
• Problem-Solving - Quick to identify issues and implement effective solutions.
• Familiarity with system integration concepts and API-based reporting.
• Strong understanding of project management principles, workflows, and reporting requirements.
• Experience in the construction, real estate, or facilities management sector.
• Excellent communication, training, and stakeholder management skills.
