Receptionist/QUENSH Administrator

Description

• Update the Worcester depot display board with monthly compliments.
• Maintain the weekly Vehicle Safety Checklist report.
• Follow up with managers on any outstanding actions.
• Allocate complaints to relevant departments for investigation.
• Coordinate distribution of the quarterly newsletter to all OnSite employees.
• Order office stationery through Lyreco and monitor stock levels.
• Chase outstanding actions to ensure timely close-out.
• Handle complaints received from the public, clients, and other stakeholders.
• Input training feedback forms into tracking spreadsheets and upload documents to EasyBop.
• File hard copies of employee training certificates; create new files and archive leavers’ folders.
• Prepare induction packs and print application forms when required.
• Print ID photos for CSCS applications.
• Book meeting rooms and maintain the weekly “Whereabouts in Office” calendar.
• Manage incoming and outgoing post.
• Arrange parcel collections and dispatch via DHL.
• Update the Complaints Register and store closure evidence on EasyBop.
• Log Near Miss reports on the EasyBop spreadsheet.
• Maintain the Compliments Register and upload supporting evidence to EasyBop.
• Upload completed site audits to the Site Audit Summary on EasyBop.
• Greet visitors, announce their arrival to relevant staff, and provide refreshments.
• Support logging and management of Near Miss reports as required.
• Answer telephone calls and direct enquiries to the appropriate employee.
• Identify correct departments using internal tools (e.g., Lightfoot).

Requirements

• Proficient in Microsoft Office; experience with systems such as EasyBop is beneficial.
• Confident communicator with a professional telephone manner.
• Excellent attention to detail and accurate data input.
• Ability to work independently and manage deadlines.
• Positive, helpful attitude and willingness to support colleagues across the business.
• Strong organisational and multitasking skills.
