What you would be doing
- Provide high-level support to multiple brokers, including calendar management, meeting coordination, and preparation of client materials
- Track and manage project deadlines, action items, and deliverables across multiple stakeholders
- Generate periodic activity reports and market research summaries
- Manage office supplies, equipment, and administrative support tools as needed
- Ensure all client-facing documents and presentations are professional, accurate, and timely
- Assist with special projects and initiatives as directed by brokers or management
- Assist in the coordination of property tours and broker open houses
- Coordinate with internal departments and external vendors to support ongoing deals and marketing efforts
- Prepare and process expense reports and reimbursements in a timely and accurate manner
- Provide back-up support for other coordinators during time off or peak periods
- Support brokers with CRM updates and client database management
- Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries
- Handle sensitive client and deal information with discretion and confidentiality
- Create and update property marketing materials, presentations, and flyers using branded templates
- Assist with listing and transaction management including the preparation of proposals, agreements, leases, and closing documents
- Maintain organized filing systems (electronic and physical) for contracts, property data, and client correspondence
- Maybe asked to participate as a liaison between brokers and clients to facilitate communication and service delivery
