Business Support and Reception Lead

Description

• Maintain a clean, organised, and welcoming reception area
• Coordinate travel arrangements, accommodation, and expense processing
• Prepare documents, reports in Power point or word
• Support with any Therme event operations such as team building days, celebration days and more formal events
• Manage incoming emails, and enquiries, ensuring prompt and accurate responses
• Greet and assist visitors, clients, and staff in a professional and friendly manner
• Support with the day-to-day office operations including supplies, equipment, and facilities coordination
• Develop a process for post /parcel management
• Provide general administrative assistance to departments and senior managers as needed.
• Liaise with external vendors (cleaning, maintenance, IT support, etc.) to ensure consistent service levels
• Manage visitor passes, meeting room bookings, and staff sign-in/out procedures
• Managing the bespoke access management system.
• Coordinate staff onboarding logistics (desk setup, access passes, office orientation)
• Assist with event planning, workshops, and internal communications in the Discovery Kitchen including management of the Discovery Kitchen inbox and event schedule

Requirements

• Proven experience in a receptionist, office management, or business support role
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and general office systems and the ability to create PowerPoint slide decks of a high standard
• Possess a ‘can do', positive, problem-solving attitude
• Strong written and verbal communication abilities
• Strong customer service skills with a professional and welcoming manner
• Excellent organisational skills and the ability to prioritise multiple tasks
• High level of accuracy and attention to detail
