The Administrative Officer provides essential administrative support for maintenance operations, covering helpdesk management, contractor coordination, fault response, reporting, and event assistance. This role ensures timely communication, accurate records, and smooth execution of repair and asset management activities.
Key duties include operating the maintenance hotline, monitoring the maintenance email account, and using the web‑based maintenance management system. The officer responds promptly to calls and emails, handles fault and emergency requests, and activates contractors to carry out repairs. They record all faults and work requests from clients, end‑users, contractors, and staff, supervise contractor activities, and ensure proper closure of work orders. Additionally, they liaise with end‑users to schedule appointments, escort contractors to site locations, and compile daily, weekly, and monthly reports for the BM/ABM and clients. The role also supports any additional tasks assigned by senior management.
Applicants should hold a Higher NITEC or ITC in Administration, or an equivalent trade certification, with at least two years of relevant experience. Proficiency in Microsoft Office, especially Excel and Word, is required, and experience in a call‑center environment is preferred. Strong communication skills and the ability to work both independently and as part of a team are essential.
