Communicate with Project Manager and Departments for Clarifications and Suggestions. Proper follow-up with other departments to submit the documents.
Distribute the documents to various departments for Review & Approval. Send the documents by Transmittal for Customer Review & Approval.
Handling of all documents from Internal and External Suppliers. Sending documents for information and approval both Internal and End Customers.
Sort, Structure and put together the Site Documentation, both electronically and paper.
Adding the documents into e-Room (web-based database, Easy access for the members in different locations). Organize the files in a folder structure in the softcopy Binder.
Upload the documents into the Document Management System (EDMS). Maintain the complete Project Documentation Status.
Profile & upload Drawing files, Manuals, Test Reports, Calculations, etc. required for the Bid-submission from internal and Suppliers into the Database or common drive and various tools like PDL and Binder.
Check & upload the Drawing files, Manuals, Test Reports, Calculations, etc. from Engineers and the Sub Suppliers.
Check & upload updated drawing files (updated due to possible changes during the installation on-site) and all the above steps will be followed for new revisions.
Responsible for ensuring compliance with applicable external and internal regulations, procedures, and guidelines.
Print out the drawings as hard copies and insert them into binders, if needed (This is the installation and Final Plant documentation) and send it to respective sites.
Proper follow-up with other departments to submit the documents. Organize the files in a folder structure in the softcopy Binders.
Delivering Tender Documentation (Bid-submission) to Customer with the inputs from Lead Engineers, Tender Leader and Dept. Head’s.

2 to 6 Years of experience in contract reading and understand the customer documentation requirements.
Should be a team player and have good experience in preparing a report and maintaining the record.
Should have strong knowledge in MS Excel, Word and PPT, EDMS etc. Excellent written and verbal communication skills.
Should have experience in contract reading and understand the Customer documentation requirements.
Proficiency in both spoken & written English language is required.
Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
Bachelor's degree in engineering or diploma from a recognized university.
