Applies basic project planning techniques on ongoing projects and manages updates.
Works closely with Project Closure Specialists, Assistant Project Managers, Project Managers, Senior Project Managers, and Project Directors.
Coordinates assigned aspects of the project and supports Project Managers in the management and execution of project activities. Executes work packages as assigned and supervised by the Project Manager or Functional Manager.
Coordinates field engineer site visits and verifies contractor timesheets.
Monitors, controls, and ensures timely submission of invoicing based on instructions from the Project Manager, including customer follow-up when required.
Coordinates and oversees documentation requirements in collaboration with a document manager.
Takes appropriate actions, under direction, to help mitigate project HSE risks.
Ensuring successful execution and delivery of assigned work on time, within budget, and in accordance with contractual agreements, while adhering to quality and safety requirements.
Planning and Scheduling
Prepares presentation materials and assists in project reviews. Updates project cost adjustments approved by the Project Manager and Controller in SAP or other project control systems.
Processes supplier and contractor invoices based on Project Manager instructions and ensures timely payments.
Conducts analysis of planned versus actual project performance under the supervision of the Project Manager or Project Planning & Controls Manager.
Prepares shipping documents and follows up on shipping and consignment details.
Ensures compliance with internal directives, procedures, applicable cybersecurity regulations, standards, and contractual requirements.
Communicates relevant information effectively to project stakeholders, primarily internal.
Ensures compliance with internal procedures, cybersecurity standards, and contractual obligations.
Coordinates with project team members to meet planning and control requirements.
Ensures documentation accuracy and consistency based on tasks assigned by the Project Manager or Documentation Specialist and in accordance with agreed procedures.
Takes ownership of maintaining and adhering to customer and vendor billing milestones.

Strong skills in Office 365 applications such as Excel, PowerPoint, Word, SharePoint, and PDC.

Minimum 3 years of experience as a Project Specialist or in a similar role.
Proficiency in SAP is mandatory.
Demonstrates an understanding of HSE requirements, concepts, reporting, and project-related risks.
