The Purchasing Coordinator will set up new vendors, obtain COIs and W9s, establish payment terms, and negotiate pricing as needed. They will obtain quotes, purchase materials following guidelines, create purchase orders with job numbers and cost codes, and manage tax status documentation. The role also involves coordinating changes with management, maintaining vendor relationships, communicating with project managers, and updating purchase orders as required.
- Set up new vendors, obtain COI and W9, and establish payment terms.
- Negotiate vendor pricing as requested by management or project managers.
- Obtain vendor quotes and purchase materials following established guidelines.
- Initiate purchase orders with job numbers and cost codes.
- Determine tax status and provide tax‑exempt certifications to vendors.
- Coordinate vendor PO changes with management, including indemnity clauses and contract language.
- Follow up to receive fully executed purchase orders.
- Maintain and build relationships with vendors.
- Communicate regularly with project managers to anticipate project needs.
- Collaborate with the Purchasing team and amend purchase orders for date or dollar amount changes.
