Bid Co-Ordinator

Description

• Communicate timelines and key milestones across all levels of the business
• Coordination with the offshore team in the preparation and submission of tenders
• Ensure all proposals are compliant with tender requirements, including formatting, document control, and submission protocols
• Conduct post-submission reviews and debriefs to capture lessons learned and continuously improve processes
• Lead the end-to-end bid process across multiple concurrent opportunities, ensuring high-quality, compliant, and compelling submissions
• Develop tailored responses by interpreting tender documentation and leveraging internal knowledge, past submissions, and SME input
• Liaise with external stakeholders (e.g. JV partners, subconsultants) where required to coordinate joint responses or obtain supporting information
• Coordinate bid kick-off meetings and regular check-ins with internal stakeholders to align on win themes and key messaging
• Maintain and refine bid templates, libraries, and tools to improve efficiency and quality
• Prepare executive summaries, project profiles, case studies, and other collateral as required
• Work closely with senior leadership, estimators, technical teams, and delivery personnel to coordinate input and approval
• Act as a central point of contact between bid, marketing, commercial, and delivery teams
• Take ownership of proposal content planning, writing, editing, and formatting to ensure consistent tone, branding, and alignment with client requirements

Requirements

• Proficient in MS Office and Adobe InDesign
• Strong written and verbal communication skills
• Confident leading meetings and engaging senior stakeholders
• Organised, process-driven, and self-motivated
• High attention to detail and quality
• Strategic thinking with a commercial mindset
• Exposure to detailed construction tender functions is advantageous
• Ability to manage multiple deadlines and competing priorities
• Ability to adapt in fast-paced, deadline-driven environments
• Experienced in coordinating cross-functional teams
• Client-focused with an understanding of positioning to win
