The Marketing Operations Coordinator plays a key role in supporting data cleanliness, information gathering, system integration, and workflows that drive Timberline’s marketing, business development, and communication efforts. This role ensures smooth execution of marketing initiatives, maintains accurate and organized data, and delivers high‑quality collateral across all channels.
The coordinator maintains clean, accurate, and organized marketing data, including project descriptions, staff resumes, and collateral libraries. They manage HubSpot updates such as RFP entries, team information, project details, deliverable tracking, and generate reports on email and web insights while handling contact list management. Additionally, they organize and digitize marketing information, enforce version control and naming conventions on shared drives, support user access and template structures, and implement software integrations to streamline information flow.
Using Trello, the coordinator tracks the status of marketing projects and deliverables. They coordinate proposal development by scheduling kick‑off meetings, preparing materials, and assembling final submissions, as well as preparing interview presentations and meeting collateral. They also document and refine internal processes for content production, event preparation, and recurring communications.
The role develops and updates project sheets, staff resumes, and brochures, and maintains branded templates for proposals, presentations, social media, ads, and signage. It saves new business content related to proposals and presentations, supports internal communications such as newsletters and social‑share emails, and organizes, edits, and sizes photography and video assets for marketing use.
The coordinator plans, schedules, and manages social media posting using Sprout, and assists in creating video‑forward content such as project progress clips and short‑form posts. They update website content, including project pages, staff updates, and blog or news posts, and maintain and monitor template libraries.
They manage headshot scheduling and photo session logistics, coordinate completed project photography with internal staff or professional partners, and conduct site visits to capture photo and video updates for marketing needs. The coordinator also maintains organized photography archives for easy retrieval and use.
The coordinator handles logistics for industry events and tradeshows, including vendor communication and preparation of marketing materials. They support company events by managing guest lists, tracking attendance, and assisting with onsite setup and coordination, and conduct post‑event surveys to compile feedback for internal reporting.
Ideal candidates are highly organized, detail‑oriented, and proactive in workflow coordination, with the ability to manage multiple priorities and structured processes. Minimum requirements include 2‑3 years of experience in marketing coordination, strong proofreading and quality‑control skills, and proficiency with project‑management tools like Trello. Preferred qualifications include experience with HubSpot CRM, strong Excel skills, familiarity with WordPress and Adobe Creative Cloud, social‑media scheduling platforms such as Sprout, basic photography and video skills, and experience supporting proposals or RFP processes.
