Executive Coordinator for Special Events

Coordinate executive-level special events, manage projects, and liaise with stakeholders.
Identify and address project risks, obstacles, or resource gaps, escalating issues proactively to leadership.
Serve as a key liaison between executive leadership and stakeholders to ensure effective communication and information sharing.
Track project deliverables, deadlines, and key decisions to ensure alignment with strategic objectives.
Provide executive-level project support, including calendar management, preparation of reports, presentations, and meeting materials.

Bachelor’s degree preferred
Five (5) to Eight (8) or more years of experience in project coordination, special event management, executive support and meeting facilitation, or similar roles supporting complex initiatives.
Familiarity with homeland security, emergency management, public safety, transportation, or similar sectors.
Proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Teams).
Certified Emergency Manager (CEM) or related credential (preferred, but not required).
US. Citizenship with current driver’s license and the ability to pass background checks, including criminal history.
Background in emergency management, security, project management, and/or executive support.
Excellent written and verbal communication skills, including technical writing, meeting documentation, and executive-level correspondence.
Demonstrated success coordinating multi-stakeholder projects in fast-paced, high-visibility environments.
Basic business acumen and the ability to understand, support and grow client relationships.
Strong organizational and project management skills with the ability to prioritize competing tasks effectively.
Security clearance or eligibility for one (preferred, but not required).
Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) certification (preferred, but not required).
Travel throughout the greater Boston area as needed (5-15% of month)
Ability to remain composed and effective in high-pressure situations.
Certification as a Physical Security Professional (PSP) or Certified Protection Professional (CPP) via ASIS International or similar (preferred, but not required).
Experience with Agile project management principles and practices.
Ability to attend in-person meetings and events in the Boston, MA area, with occasional travel as needed.
Proven ability to facilitate meetings, guide discussions, and drive progress.
Ability to work effectively with senior executives, government officials, and diverse stakeholders including security, emergency management, and law enforcement.
Bi-or multi-lingual skills
Working knowledge of Incident Command System (ICS) or National Incident Management System (NIMS).
