  • Scan and file tenant rent checks received at the office.
  • Coordinate multiple conference calls.
  • Open daily mail and scan documents into shared folders for accountant access.
  • Follow the Accounting Department Procedures manual and adherence thereof for departmental continuity and consistency.
  • Assist in Positive Pay and other needs as directed.
  • Create and implement departmental checklists for continuity purposes.
  • Assist accountants with miscellaneous projects and tasks.
  • Perform a variety of accounting administrative tasks and support functions.
  • Complete bank reconciliations and ensure accuracy of financial data.
  • Download and organize mortgage and bank statements.
  • Support the preparation and submission of state and local filings, including RPIE, real estate tax filings, and sales tax returns.
  • Assist in preparation and submission of lender and JV partner reporting.
  • Maintain department schedules and assist with general administrative duties.
  • Draft, edit and proofread documents, including cover letters, memos, fax transmittals, emails, etc.
  • Prepare Excel reports and PowerPoint presentations.
  • Maintain accurate tracking of meetings, contacts, and relationships in the CRM system.
  • Manage calendars, schedule appointments, and place calls on behalf of the team.
  • Assist with ad-hoc projects and reporting as needed.
