Executive Assistant

Description

• Anticipate the CEO’s needs, proactively manage priorities, and resolve administrative or scheduling conflicts.
• Serve as a communication bridge between the CEO and internal teams, external partners, and stakeholders.
• Develop and maintain spreadsheets, dashboards, and metrics in Excel and Power BI.
• Maintain data integrity across reporting tools and ensure confidentiality of business intelligence.
• Prepare executive-level correspondence, board materials, and presentations with minimal direction.
• Plan and support executive events, quarterly business reviews, and offsite meetings.
• Manage and optimize the CEO’s calendar, meetings, and travel across multiple business entities.
• Represent the executive office with professionalism and confidentiality at all times.
• Monitor and triage emails, inquiries, and time-sensitive requests on behalf of the CEO.
• Analyze trends, generate insights, and present data in a clear, actionable format for executive decision-making.
• Coordinate internal and external meetings, including agendas, logistics, follow-ups, and documentation.

Requirements

• 5+ years of experience supporting a C-suite executive or high-level leader.
• Strong written and verbal communication skills with attention to detail and discretion.
• Bachelor’s degree in Business, Communications, or a related field preferred.
• Advanced proficiency in Microsoft Excel (pivot tables, formulas, data summaries) and Power BI.
• Prolonged periods working at a computer.
• Proven ability to manage complex schedules, anticipate needs, and coordinate across departments.
• Ability to manage frequent interruptions and maintain composure under stress.
• Occasional lifting (up to 15 pounds).
• Minimal travel may be required.
