  • Maintains appropriate document control logs by entering information as to type of documents, dates received/transmitted, and file location.
  • Schedules meetings, prepares meeting agendas, and takes minutes.
  • Schedules meetings and maintains conference room schedules. Manage phone calls on behalf of management.
  • Develops and maintains physical and digital filing systems.
  • Handles administrative requests and queries from senior managers and division staff.
  • Provides administrative support to ensure efficient office operations.
  • Operates multiple types of reproduction equipment (printers, scanners, etc.)
  • Direct callers to the appropriate individuals, divisions, or projects where assigned.
  • Gathers data by contacting employees, other divisions, and/or agencies for general information and/or to prepare reports.
  • Checks correspondence submitted for supervisor's attention to ascertain that all relevant data, files, signatures, etc., are accurate and included.

  • Minimum of 5 years of experience in administrative support roles, preferably in a fast-paced office environment. Prior experience in the construction industry preferred.
  • BA/BS degree preferred or certification in office administration.
  • Must be proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Good interpersonal skills.
  • Strong organizational skills
  • Strong written communication skills.
  • Heavy proofreading and processing of general correspondence, such as letters, memos, reports, and Board letters.
  • Ability to type a minimum of 40 wpm
  • Strong attention to detail and problem-solving skills.
  • Must be able to multi-task, follow through on all tasks to completion, and work with minimal direction and supervision.
