Administrative Assistant - Estimating and Project Support

Description

• Assist in processing paperwork for invoices, applications for payment, subcontract agreements, purchase orders, and labor cost reports.
• Support the Estimating team with prequalification submittals, bid solicitations, and maintaining bid tracking databases.
• Assist with administrative tasks related to project billing, including collecting and processing lien waivers from subcontractors and managing document control.
• Manage vendor communications, including notifications to Accounts Payable about new vendors and processing vendor invoices for validation.
• Organize and coordinate company sponsored events such as meetings, parties and annual volunteer drives and projects
• Assist with various research and special projects as assigned
• Maintain a comprehensive and orderly project file system, ensuring adherence to filing processes.
• Provide general office support including sorting mail, ensuring office equipment functionality, ordering of supplies.

Requirements

• Excellent customer service, teamwork, and interpersonal skills.
• 2+ years of office-related experience, with a preference for experience in the construction industry.
• Self-directed, organized, and self-motivated with a strong ability to execute tasks effectively.
• Proficient in Microsoft Office Suite and familiar with construction management software.
• A keen eye for detail and a strong desire to learn and progress within the position.
• Ability to multitask and thrive in a fast-paced and challenging environment.
• Previous experience with payroll, accounts payable, and administrative support.
