Office Administrative Assistant

Description

• Participate in special projects and office events throughout the year
• Provide remote assistance to other offices and departments as needed
• Assist with onboarding logistics (building badges, parking registration) and facility coordination
• Support administrative team with overflow tasks such as word processing, document production, time entry, expense reports, and database management
• Support IT with local computer and network connections
• Serve as the first point of contact for clients and maintain a professional reception area
• Coordinate hospitality and logistics for internal and client-facing meetings and events
• Manage phone calls, messages, and incoming/outgoing mail (including FedEx, UPS, certified mail)
• Create and edit Word documents, Excel spreadsheets, and PowerPoint presentations.
• Maintain office and kitchen supplies; ensure copy centers and conference rooms are organized
• Perform physical and electronic filing using case management systems

Requirements

• 1-3 years of Administrative/Office experience
• Exhibit the ability to effectively multi-task, meet deadlines, and provide solutions in a fast-paced office setting
• Are comfortable working in the office every day
• A sense of accountability for working independently and proactively
• Enjoy working with diverse personalities within various levels of the firm
• Exceptional oral and written communication, including excellent spelling, grammar, punctuation, form, and style
• Team player attitude with ability to be proactive and focus on problem solving
• Superior client service and listening skills for anticipating needs of clients and attorneys
• Excellent multitasking and time management abilities
• Proficiency with MS Office, scanning, and profiling of legal documents
