The Facilities Coordinator leads delivery of maintenance and operations, vendor oversight, purchasing of material, equipment and supplies, occupancy services, and both planned and reactive works. The role also performs front‑desk duties such as greeting visitors and providing access for contractors.
Proactive stakeholder engagement ensures on‑site client expectations are met and builds effective relationships across multiple organisational levels. A strong focus on customer service and employee experience is demonstrated in all interactions with team members, clients and stakeholders.
Vendor management ensures services are delivered on time and within budget while complying with client procurement guidelines and JLL best practices. Financial oversight tracks and validates spend, ensuring adherence to the JLL Code of Ethics and related control requirements.
The Coordinator holds a duty of care to work safely, protecting personal health and that of fellow workers and visitors, and complies with health‑ and‑safety policies and risk‑management programs. This includes implementing disaster recovery, business continuity, and incident‑escalation procedures.
Customer service responsibilities include operating the switchboard, keeping reception areas tidy, managing visitor sign‑in and badge issuance, providing site directions, booking taxis, meeting rooms, catering, parking, business‑card orders and courier collections, and ensuring visitors understand emergency evacuation processes.
Continuous quality improvement is pursued by recommending and implementing industry best‑practice operations, reviewing existing processes to reduce costs and improve standards, providing 24/7 emergency call support and site attendance, and completing regular reporting on a weekly, monthly, quarterly and annual basis.
As a team player, the Coordinator provides coverage for the receptionist during lunch breaks and short‑term absences, supports the broader facilities team with ongoing tasks, and contributes to overall service delivery.
