- Conduct daily site walk‑arounds, logging health & safety, fabric and maintenance issues in the CAFM system.
- Ensure timely completion of compliance tasks and report non‑compliance to the Estates Manager.
- Manage eLogbook data to verify contractor compliance and keep documentation up‑to‑date.
- Review and update Risk Assessments and Method Statements regularly.
- Support estate manager with site audits, risk assessments and ensure corrective actions are closed.
- Oversee on‑site third‑party soft‑service contractors (cleaning, landscaping, waste, security, M&E) to meet RAMs and site regulations.
- Hold regular team meetings and maintain adequate staffing levels for smooth daily operations.
- Participate in ESG initiatives and implement the site’s net‑zero plan.
- Administer CAFM systems (eLogbook, Locale, RiskWise) – verify paperwork, issue job sheets, close remedial actions, and synchronize data.
- Generate and distribute monthly KPI reports to service providers.
- Upload and maintain compliance reports on shared drives and tenant compliance libraries.
- Facilitate contractor KPI meetings, take minutes and track action items.
- Process service‑charge invoices, cross‑checking budgets, job completions and supporting documentation.
- Assist the Estates Manager with cost tracking and efficiency improvements.
- Engage with tenants, attend meetings, and support events to foster positive relationships.
- Deliver ad‑hoc projects, develop new policies/procedures and perform general admin duties.

- Experience in soft services or facilities management within a managing‑agent environment.
- Proven contractor management across cleaning, security, concierge, landscaping and H&S services.
- Strong communication and stakeholder‑management skills.
- Good knowledge of compliance documentation and statutory requirements.
- Familiarity with Eloog, Vantify and RiskWise/Meridian (desirable).
- Understanding of service‑charge budgets and schedules (advantageous).
