Support senior level staff with expense report submissions, travel coordination, and meeting scheduling
Support the Ottawa Office Manager, office staff and greater BGC Administrative Team as needed
Project support including coordinating field logistics, implementing client-specific deliverable requirements, file management, administration and communication of various project team schedules
Liaise with building management and local vendors for repairs, maintenance, and security
Manage and coordinate the operation and functionality of office space, ensuring all systems are functioning properly and organizing necessary updates and improvements
Assist with planning office and company social events, meetings, and catering
Tasks could include shipping/receiving, liaising with building management and local vendors, maintaining office organization and supplies inventory, assisting with planning meetings and social events, and other tasks as required
Coordinate the onboarding of new staff and act as a general resource for new hires
Maintain office organization, various office equipment, and supplies inventory
Light reception duties including receiving visitors and vendors, shipping and receiving, printing and scanning
Approve office related invoices and complete office credit card reconciliations
Provide remote and in-person support to smaller regional offices, requiring bi-monthly, short-term travel to provide in-person support
Coordinate travel and accommodation logistics for staff and clients
Support workspace planning initiatives, office renovations and expansions
