The Records Clerk maintains, updates, and dispositions all inmate/resident records and files. Responsibilities include assembling files from all repositories, reviewing records for policy compliance, verifying and correcting file composition, and preparing records for transfer or archiving.
The clerk receives court correspondence, verifies that court bonds fully cover sentences, monitors case disposition after appearances, and contacts internal staff, local jurisdictions, and courts for record information. They also create and maintain organized general and inmate/resident files, following corporate policies for sorting, labeling, filing, retention, and storage while ensuring confidentiality and security.
The role requires maintaining an up‑to‑date list of inmates/residents scheduled for discharge and processing parole certificates, discharge letters, release authorizations, and notifications. Qualifications include a high school diploma or GED, a valid driver's license, and at least 21 years of age; experience in correctional records management and proficiency with Microsoft Office are preferred.
