About the Role
The Compliance Coordinator oversees elevator compliance coordination within the branch, ensuring that testing, documentation, and deadlines are managed effectively. This role serves as the primary point of contact for customers and authorities having jurisdiction (AHJ) regarding compliance matters. In addition to core compliance duties, the role includes various administrative responsibilities such as managing incoming mail, supporting sales and operations staff, and processing financial documents like invoices and draft check requests. • Manage the administrative process related to testing and violations. • Coordinate high-volume testing with multiple third-party jurisdictions to meet deadlines. • Log initial customer orders and classify work as contract-covered, owner-performed, or proposal-needed. • Ensure signed proposals are returned promptly and track contract-covered work completion with mechanics. • Follow up with customers on owner-performed tasks and troubleshoot delays to achieve 100% compliance. • Communicate compliance status to customers and AHJ before deadlines. • Complete affidavits and other required compliance paperwork. • Oversee incoming mail, provide administrative support to sales and operations teams, and process accounts payable invoices and draft check requests.

Otis Elevator Company is seeking a highly motivated Compliance Coordinator for its Baltimore, MD location. The successful candidate will be ambitious, self-reliant, and focused, capable of performing a wide range of administrative functions with minimal direction. They must be a team player who can handle sensitive information and remain composed under pressure. Candidates must have at least three years of office or administrative support experience, strong computer skills in Microsoft Office, and the ability to learn company-specific software. Excellent written and verbal communication, strong organizational and multitasking abilities, and the capacity to handle confidential information are essential. A high school diploma is required; a bachelor’s degree is a plus. • Demonstrate proficiency in Microsoft Word, Outlook, Excel, and the ability to learn SharePoint, Microsoft Dynamics CRM, LINX, JDE, or similar systems.
