About the Role

A Community Manager I is responsible for providing overall supervision of a portfolio of community associations, interacting with internal and external customers including homeowners, vendors, board members, committee members, and Associa staff. • Travel to client associations to attend board meetings, perform inspections, conduct walk‑throughs, and attend community events as needed. • Prepare agendas, update management reports, and compile documents for Board meeting packages. • Prepare annual disclosure packages, meeting notifications, and financial statements for homeowners and arrange bulk mailing within statutory time frames. • Update homeowner and association information in C3 and shared files. • Coordinate and oversee inspections of building facilities or common areas, arranging appropriate follow‑up actions. • Supervise the operation and administration of the Association per the management agreement and its policies. • Act as or oversee the primary liaison with the Association Board of Directors and homeowners. • Perform administrative and management duties requested by the Board of Directors in accordance with the management agreement. • Ensure Associa community management tools (annual calendar, action item list, resolution worksheets, RFP matrices, etc.) are effectively developed and utilized. • Review monthly financial reports and submit management summaries to the Board of Directors. • Provide or oversee recommendations to the Board regarding major capital expenditures to maintain community appearance and operation. • Oversee Architectural Review Board (ARB) application processing and conduct on‑site community inspections as needed. • Monitor corporate and client delinquency rates and manage the collections process for the account portfolio. • Notify the Board of Directors of any legal actions involving the Association. • Maintain unit and contract files related to Association operations. • Manage routine and special project vendors, including procurement and performance evaluation. • Oversee Associa staff as defined by contract. • Oversee the accounts payable process according to Associa home office procedures. • Deliver professional customer service. • Maintain confidentiality and discretion in all duties. • Keep workspaces organized and maintained. • Partner with multiple stakeholders such as assistant community managers, vendors, peers, and clients. • Prioritize, manage time, and meet deadlines. • Operate general office equipment (copier, fax, phone systems, etc.).

What You Bring

• Proficient in Microsoft Office (Word, Excel, Outlook, etc.). • Knowledge of communities, property/real estate, and homeowners associations. • Understanding of the roles of the association board and the Community Association Manager and their interaction with homeowner requests. • Skilled in business correspondence, including grammar, structure, punctuation, and spelling. • Proficient in conflict resolution techniques. • Self‑motivated, proactive, detail‑oriented, and a team player. • Demonstrate strong time‑management and prioritization skills. • Interpret verbal and written instructions proficiently. • Familiar with company policies, procedures, and forms. • Work effectively with others in person and in group settings. • Communicate effectively and professionally by phone, email, and in‑person. • Bachelor's degree preferred. • Required experience in community association management.
