  • Organize event logistics including set-up, staff communication, vendor management, attendee/speaker requests, and tear-down.
  • Handle Tier 1 (large, complex) and offsite events for high-profile engagements.
  • Ensure consistency in service through continuous review and improvement of processes.
  • Model behaviors that are consistent with company values and motivate staff to attain performance goals.
  • Support budget creation and adherence, ensuring timely request and review of invoices.
  • Manage a team of Hosts who serve as cultural and community ambassadors
  • Review staff workloads and adjust proactively to meet business demands.
  • Ensure all employee-facing services within the building or campus, including Concierge, Reception, Room Management, A/V Support, Meeting & Event Management, Community Programs, Food Serices, Parking & Commute, Moves, Adds, Changes, Space Reset, and Workplace Onboarding.
  • Manage food and beverage services, including menu planning and catering selection.
  • Capture post-event reporting and reconciliation, providing recommendations for improvement.
  • Maintain relationships with internal and external clients and vendors.
  • Lead and execute all elements of event planning and management as the primary point of contact.
  • Recommend recruitment, selection, corrective action, and termination of staff.
  • Develop and distribute materials that comply with client and company brand guidelines.
  • Manage negotiations for contract services and ensure vendor compliance with insurance and contractual documentation.
  • Develop and communicate end-to-end event plans, engaging in curation and ideation as needed.
  • Provide mentorship and guidance to team members.
  • Prepare and deliver performance appraisals.
  • Coordinate with company and client IT teams on technology and training needs.
  • Source, select, and recommend vendors for catering, decor, entertainment, and giveaways.
  • Coordinate regular engagement to resolve complex issues and provide a positive experience.
  • Serve as the key contact for clients, ensuring thorough communication and understanding of event details.
  • Establish work schedules, assign tasks, cross-train staff, and develop team skills.

  • Bachelor's degree (BA/BS) in a related field of work or equivalent work experience and a minimum of 4+ years working in the meetings industry in areas such as a planner, travel management, hotel sales or similar preferred; or equivalent combination of education and experience (equivalent work experience = 2 years experience for every year of higher-level education).
  • Experience in supervising and mentoring a team.
  • Certified Meeting Professional Certification preferred.
  • Experience exercising project management skills with a focus on event planning.
  • Proficient in vendor management and negotiation.
