Property Management - Floating File Specialist

Handles compliance filing, resident services, and leasing support across multiple properties.
Prepare new move-in, interim, and annual certification files to ensure accuracy and compliance with regulatory requirements.
Maintain communication with site level team(s) regarding all aspects of move in, from application to final seal and upload.
Maintain compliance with all regulatory commitments.
Communicate with the Portfolio Manager regarding discrepancies or deficiencies noted within certification files, and ensure corrections are implemented within 48 hours and to HNN standards.
Support the overall marketing and leasing efforts of the community including social media engagement, reputation management, advertising, marketing collateral, curb appeal and pricing.
Successfully engage with prospective residents through the company’s lead management software, email and phone calls, appointments, and follow-up communication.
Develop a thorough understanding of multiple community operations, budgetary guidelines, and expectations.
Consistently maintain contact and collaboration with the Portfolio Manager through effective and timely communication. Alert the Portfolio Manager immediately with concerns regarding employees, the community, or the neighborhood/market.
Provide excellent customer service to all residents, prospects, and guests.
Maintain and update current information into software applications.
Assist in all aspects of daily operations for your assigned community.
Understand company operation guidelines, properly document all injuries and incidents, and report them to the Portfolio Manager in a timely manner.
Follow, support, and enforce company policies and procedures.
Submit reporting as directed by the Portfolio Manager, adhering to company deadlines.
Keep Yardi and associated resident management software up to date including rent charges, occupants, lease dates and other data in a timely manner.
Prepare responses to compliance audits as needed for the Portfolio Manager and to company standard.
Attend training classes as scheduled and assigned.
Continually seek out training opportunities and stay up to date on industry/legal trends and changes.
Assist with administration of all lease agreements and addendums, renewals, prospect screening processes, and legal notices while ensuring accuracy and compliance.
Maintain a positive relationship with local housing authorities and agencies.
Respond to resident questions, concerns, and requests in a timely manner, and take appropriate action to resolve and address service issues.
Assist in the implementation of new systems, programs and procedures as directed by the company. Effectively and appropriately use company technology and software.
Participate in the success of all resident events, community programing and local/non-profit programs.
Work collaboratively and respectfully with peers, other team members and departments.
Assist the Portfolio Manager with compliance requirements of the tax credit program as it relates to the community including monitoring rents, new move-ins and re-certifications. Work effectively with the Compliance Department regarding tax credit paperwork, calculations, re-certifications, and reporting.

Must be legally qualified to work in the U.S. meeting I-9 guidelines.
Proficient using MS Office Suite (Word, Excel, PowerPoint, and Outlook).
Prefer experience with HUD regulations, as outlined in the HUD Handbook 4350.3.
Valid driver’s license required.
Successful completion of background check and drug screen required.
Experience using property management software, preferably Yardi and Rent Café.
Must be able to speak, read and write English in a manner sufficient to carry out duties.
Minimum 2 years of compliance related experience.
Must be 18 years of age or older.
Demonstrate enthusiasm in developing a mastery of the company’s tax credit process.
Must have knowledge of Fair Housing, Low Income Housing Tax Credit regulations and State Housing Commission Regulations.
Excellent written and verbal communication skills.
Thoroughly understand the rental agreement and the screening process
High school education or equivalent required.
