What you would be doing
document control

Assist with post-construction document archival and retention in alignment with Project Agreement specifications
Reviewing document quality and proactively addressing issues
Coordinate all activities related to the Document Control procedure (registration, uploading, transmitting) including technical documents, drawings, and commercial correspondence.
Meeting established turnaround times for processing and distributing documentation
Managing the flow of documentation within the organization and with external Project entities
Assists in providing training and support to new project team members on document control practices
Prepare ad-hoc reports on projects as needed
Creating and managing electronic workflows
Identifies and escalates system or processing issues to the Document Control Manager in a timely manner
Ensuring high accuracy in capturing metadata in both project and client EDMS systems (e.g., Aconex, Unifier) in accordance with reporting and auditing requirements
Retrieving files as requested by individuals from different disciplines
Maintain confidentiality around sensitive information and terms of agreement
Collaborating with other documentation teams to ensure consistency and efficiency
Ensure Document Data accuracy in compliance with implemented procedure and policies
Following up with all discipline personnel for action items

Completion of a post-secondary education—Bachelor’s degree or College Diploma preferred—or an equivalent combination of education, training, and experience in Document Management or a related discipline
Solid understanding of project documentation and engineering terminology
Prior experience in using electronic document management (Autodesk Construction Cloud, Aconex and Unifier preferred) as well as in processing both design and vendor documentation
Fluency in English
Minimum 3–5 years of document control experience in a construction project or site-based environment
Ability to document work tasks (e.g., work instructions)
Ability to work independently and collaboratively in a fast-paced environment
Exceptional organizational skills, with a proven ability to meet deadlines in a fast-paced environment
Experience in various electronic drawing file formats
Proven experience in computerized and/or manual document control management, preferably within the engineering or a related industry
Strong organizational skills and attention to detail
Prior experience working on a project with Metrolinx preferred
Proficiency in document control software and Microsoft Office Suite
Experience working in a site / project team environment with the proven ability to build relationships with immediate and remote team members, clients and stakeholders
Strong written, verbal, communication, and interpersonal skills.
Advanced proficiency with applicable software applications such as Aconex, Unifier, Autodesk Construction Cloud, MS Office, Adobe Acrobat Professional, SharePoint
